Speaker Guidelines

Below you will find the guidelines for speakers and chairs.
If there are any changes, this page will be updated, so we kindly encourage you to check it on a regular basis.

Speaker guidelines and requirements

  • Presentations should be formatted in a 16:9 aspect ratio.
  • You may embed localized video files in your presentations. However, always bring a standalone copy of the video file on a USB stick.
  • Bring your presentation on a USB stick to the meeting room Marfim III and share your PPT slides with the technical staff at least 60 minutes before your lecture.
  • The technical staff will ensure that your presentation is loaded onto the laptop in the designated meeting room.
  • Please adhere to the allotted presentation time to keep the session on schedule.
  • We are aware that some sessions are scheduled back-to-back, which may make it challenging to start on time. We kindly ask all speakers and attendees to do their best to arrive promptly so that sessions can begin as scheduled.
  • Familiarize yourself with the audiovisual equipment and introduce yourself to the session chairs, who will explain how they plan to run the session.

Chair guidelines and requirements

As chair, your contribution is very important to ensure that the session runs smoothly and to stimulate discussion.

  • We are aware that some sessions are scheduled back-to-back, which may make it challenging to start on time. We kindly ask all chairs to do their best to arrive promptly so that sessions can begin as scheduled.
  • A hostess and the technical assistance are in the meeting room to assist you and become familiar.
  • Please explain the speakers how you would like to run the session
  • You are responsible for keeping track of time and ensuring that all presentations start and end as scheduled
  • In case one of your speakers is not there on time or don’t show up, please go ahead with the session. Your session will ends earlier or you can use this time for interaction.
  • For last minute issues, please ask the hostess to contact the supervisors directly.
